Import and Export
Once Requestbox has been customized to your needs, you can begin to populate it. Information can be entered gradually or it can be imported altogether.
To successfully import data into Requestbox there are a few rules that need to be followed
Data must be in a .csv format
Date values must be in YYYY/MM/dd format
For each column in the data file there needs to be a corresponding header. Without this, the import will not run as it cannot match up to anything.
Once you have your data correctly formatted in a .csv file select Import from the Admin menu
Go to the Admin Menu, select Request > Interface > Import
Select New import
Start filling out details about the import
Select which type of import this is
There are several import types to choose from.
Update and Insert
Data from the .csv file is imported or added into Requestbox. New records are created and the data in the source and destination file are the same.
Data in Requestbox will be over written only if it is different from the data in the .csv file.
All data in Requestbox will be deleted and over written with data in the .csv file
Update and Insert
Data in Requestbox will be overwritten if it is different from the .csv file. Also, new data not in Requestbox will be added to new records.
Once Import details and necessary header names have been added it is time to select where the .csv file will be imported from. Requestbox can import from an FTP Server or from a file.
How to do an Insert Only Import
FTP Server Import
The Details tab allows you to name your import and choose which request the data will go to from the import. You can also choose the request type you require, outlined above.
The Headers section is to match up which columns are being taken from the import and what they correspond to in the request.
The FTP Settings allow you to choose which FTP server Requestbox will look at to import the necessary file.
Also under the FTP Settings tab
From here, you are able to set a schedule for the date and time you wish the import to occur, this can be daily, weekly, monthly or yearly.
This is where you choose to import from the FTP server you selected earlier, it should pick up the .csv file that you are wishing to import. Make sure that it is the newest or only .csv file on the server.
This shows that the import has finished and all the fields were inserted, with none being updated.
Occasionally it is necessary to export the data held in Requestbox. This process is a simple one and similar to Importing
Go to the Admin Menu, select Request > Interface > Export
From the drop down list, select New Export
Complete the export details, i.e. what to want the export file to named, what types of export this is.
There are two types of export, complete and incremental.
A complete export will export all the data to the .csv file
An incremental export will only export data that was created after the last export was run
Select the general fields you require then select create export button. This will then give you more options about which fields you would like to export.
the .csv export file can be saved to an FTP location or opened up in the browser. Once you have decided where the file is being exported to select the Run export button
Once the export has been completed, a message will appear and you can decide what to do with the .csv file
How to do a complete export
FTP Server Export
This is where you name the export and chose which request you are exporting from, along with the type of export being done.
Also included is the data that is being exported from the request as well as the general fields that can be displayed in the grid.
Exactly the same as with the FTP Server Import, above, you will have filled out the FTP Server details in the FTP Settings tab.
This is where you select to export to the FTP Server that you will have chosen.
This shows that the export finished successfully, with 25 requests being exported in a .csv file to the FTP Server.
