Schedule show date at fall norcal council meeting
Reserve date with CAB building
Plant order – talk with nuccio in November with December 1, deadline for order
Schedule January date with nurseries for workshop and a program with san mateo arboretum
Revise show brochure with judy orttung at beginning of month; send to printers (100)
Judges list – update list with don bergamini in december
Judge’s packet - compose judge’s letter along with show brochure and mail the first week in January
Make up tentative judge’s team based on replies (3 per team; teams who finish can take additional categories; 2 accredited judges w/one novice)
Use January program to obtain volunteers for show
Visit CAB building to double check heating request, table availability, floor plan, etc.
Trophies – catalogue trophies with helene, makeup trophy lists (at least 3), trophy cards (2 sets- one for place holding on table, second set for actual winners), material for packing, etc.
Show flyer and advertising – distribute flyers at January program; list event smdaily journal, yelp, palo alto daily, bobtanem, redwoodcity.org. and nextdoor.
One week before show – go over floor plan with CAB; verify participation with other groups (ie bee group, ikebana); workshops
Trophies – make sure there are enough trophies
Clerks supplies – check for supplies and load up clerk’s aprons; clerk’s and runners instructions; contact bev heathorn about being head clerk
Judge’s packet – one packet for each category containing pencils, red dots, ballots
Judge’s teams – call judges who have not responded to letter
Head judging area – ballots, pens, punches, rulers, rope, category list (same as trophy list), paper bags, markers
Day before show – set up tables first and hang banner over trophy table; cover tables; set out categories; judging area; plant room; kitchen; membership; clerk’s room; hallways; bloom setup room
Judging area (diagram); also allow for tables to bring blooms in and blooms that go to the ‘ head table’ (not trophy table! Trophy table blooms stay in the judging area and are moved to trophy table by a HT judge)
Hang curtain covering kitchen area
Paper bags for categories judged in place (plants, species, tray of 9, etc)
Hang banner out doors (sometimes it is done in the morning too)
Day of show –
Coffee and doughnuts at 7 am.
Assemble clerks and runners at 10
Head table judging instructions (mark collections, youth, etc) using AA, BB, etc.
Opening remarks and judges instructions
Trophy table – helper to bring winning blooms to table; helpers to pack up trophies
Monitor – someone to take down tables as needed, direct public to workshops, help with moving plants
Workshops – direct public to area, monitor seating, help with setup and takedown
Tabulator – card table, ruler, paper, punch, pens – tabulate entry cards for sweepstakes and runnerup sweepstakes and write up formal cards for the trophy table.
Designate individuals for judging jobs (ie best of show, returning blooms, etc)
Plant room crew (use utility table for moving plants for customers)
Lunch crew (table covering, chairs, clean up)
Opening crew – plant room
