What is the new SOAPware Hosting Service?
The SOAPware Hosting Service is an ASP, or Application Service Provider, offering much more functionality and affordability than most ASP-type electronic health record systems. With the SOAPware Hosting Service, you receive a complete virtual private server allowing you to run SOAPware and a host of other third-party applications from any computer with an Internet connection and a Remote Desktop Protocol application.
What is a ‘virtual private server’?
A virtual private server (VPS) is a powerful new piece of technology that allows the secure Windows 2003 Server operating system to work without the need to have a dedicated server at your location. This literally saves you thousands of dollars in hardware costs while maintaining the safety, functionality, and reliability of the Windows 2003 Server OS. For all practical purposes, you won’t even notice that you are operating in a virtual environment. Another valuable attribute of the virtual private server is that it can be accessed from practically any computer – even those running Mac OS X, Linux, or any mainstream operating system.
What is included, and how much does it cost?
The SOAPware Hosting Service includes access to the SOAPware program loaded with the Spell Check, Health Maintenance, Document Management, SOAPwareXchange, EM Coder, ChartSearcher, Lab Forms, ChartPortal, and FlowSheets Enhancements. Technical support for SOAPware is included, as well as 24/7 support for troubleshooting problems with the operating system or virtual server. A one-hour Personal Training Session (PTS) is also included to assist during the initial learning period.
Additional Enhancements available for purchase include Flash Code,
SOAPwareXchange
HL7, and EPrescribing.
In order to keep costs as affordable for you as possible, licensing is based
on the number of concurrent users. For example, if a total of ten people
will use the service, but no more than five at any given time, you only need
to establish five licenses. A one-time Server Setup Fee of $500 and a
$100-per-user Setup Fee comprise the initial costs (in the example of five
users, this would total an initial setup cost of $1000).
Monthly fees are as follows: $100-per-user for the first two users, and $50 for each additional user. In the example of five concurrent users, the monthly cost would be $350; $200 for the first two users, and $150 for the additional three. A major credit card must be submitted to secure monthly fees.
Additional software such as Microsoft Office, Practice Management or Billing software can be purchased from your vendor of choice and installed on your virtual private serverº, therefore circumventing the need for an in-house server and potentially eliminating costly, extended IT expenses. SOAPware Inc. will make every attempt to help clients install and setup proven mainstream applications. For additional software installations, either SOAPware Technical Support or your practice management vendor will install the needed software. Additional resources may be needed, and for any non-SOAPware work, time will be billed at a minimum of $100/hour, one hour minimum.

Is it secure and reliable?
Your virtual private server is maintained in a completely secure, autonomous environment. No one can access your server or see your charts without a legitimate username and password. With the SOAPware Hosting Service, all the applications are actually running on your remote server and are simply transmitted to your computer as a continuous series of screenshots. Since this eliminates the need to actually transfer your database across the internet, this method practically eliminates the likelihood of contracting a computer virus, spyware, pop-ups, or of being hacked, and helps make this one of the safest, most secure options available today. All servers are protected by highly-secure Cisco Pix firewalls, IP filtering, and Symantec Anti-Virus Corporate Edition running real-time virus protection of your virtual server environment. Your connection to the virtual server is encrypted with the 128-bit SSL digital encryption technology, and all possible data ports in the VPS are closed. This minimizes any probability of attack by a computer hacker.
You can rest assured knowing that ease of access and data integrity is of the utmost importance to us. The server operations room where all data resides incorporates dedicated circuitry, redundant air cooling systems, APC surge protection, battery backups, and a 100-kilowatt diesel backup generator with a 24 hour fuel supply. Two dedicated T1 lines with Border Gateway Protocol (BGP) and a third, redundant 7000 kbps connection provide the best environment for server uptime and helps ensure unobstructed access to your data.
What about Backups?
With the SOAPware Hosting Service, your entire virtual private server is automatically backed-up every 24 hours, and your SOAPware data is protected with additional database backups and real-time data replication. With this highly redundant environment, in most instances, access to your data can be restored within minutes. This ensures an absolute minimum impact in the unlikely event of such a problem. In the event of a catastrophic disaster at the main data-backup storage facility, your data will be retrieved from a physical data backup maintained at a supplementary off-site data storage site. These backups are updated and maintained weekly in one of several secure locations. This helps to avoid all possible scenarios that could result in data loss.
Further Information
SOAPware will be updated on a regular basis as compatible releases are available. Support will be available from 7:00 a.m. to 7:00 p.m. Monday through Friday and Saturdays 10:00 a.m. to 2:00 p.m. as stated in the SOAPware Standard Support /Update Agreement (http://www.docs.com/Products/modules/updatesubscription.htm). In addition, you will receive 24/7 emergency support for your VPS operating system. During these off hours of support, you will be able to reach one of our on-call support technicians who can help solve issues with SOAPware or Operating System malfunctions.
Scheduled maintenance will happen outside the regular business week Monday 7:00 am to Friday 7:00 pm CT and a seven day email notice will be given if possible. Emergency maintenance will be handled as needed with availability of your data being of the utmost importance. Each night your VPS will be stopped and started for backup purposes and to unlock any sessions that might have been disconnected or orphaned. Backups will activate somewhere between 11:59 p.m. and 6:00 a.m. CT. Most backups will take less than 30 minutes of time.
A major credit card with an expiration date of at least one year from application date must be used to guarantee monthly billing. If a monthly billing attempt on your credit card yields a decline, you will be contacted to obtain an alternative credit card for payment. If a monthly payment balance remains unresolved for 30 days, access to your server may be restricted until the issue is resolved. In the event that your service is terminated by either party, you will continue to have access for no more than 30 days. If you wish to cancel the service, a request on company letterhead signed by the primary contact will be required, as will immediate payment of any unpaid balance on your account. At all times during your participation in the SHS program, you are considered the rightful owner of your data. Should the SHS agreement be terminated, or should you opt to transition to traditional onsite server/client setup, we will offer your data to you in either HTML or SOAPware™ format for minimal cost (usually nothing more than shipping fees). SOAPware Hosting Service (SHS) is a non-refundable service. No refunds will be issued for Server Setup Fee, User Setup Fee(s), Monthly user(s) fees or any Enhancement(s). Upon receipt of request for cancellation in writing from purchaser, monthly SHS charges will be immediately cancelled.
Unique situations may be handled in a variety of ways, however additional resources can usually be extended to your account for a modest fee if your needs exceed the typical VPS resources. Customers are always consulted before charging of fees or extension of resources. VPS resources included by default are 500 MB of ram, 60 processes, 2 GB of personal storage space, 3 different printer driver installs and unlimited data storage capacity for your SOAPware databases. These resources should be more than enough to run two typical programs, such as SOAPware and your Practice Management System, on five concurrent sessions. Keep in mind the virtual OS runs most of its resources outside your VPS and, therefore, is very efficient on resources. Printer drivers must be submitted upon request during the setup process to guarantee printing ability from inside the VPS. Only PCL and PostScript printers are supported. All-in-one/multifunction printers are not supported (all-in-one Brother printers are not supported!) Activation of your VPS may take up to two weeks from date of request. For clinics that need more than 5 concurrent sessions (up to an additional 10 processes and 100 MB of RAM), this is offered at no extra cost for each session for sites running more than 5 concurrent sessions. No additional hard drive space is issued for SOAPware databases as they are not in the VPS and are not considered in your 2 GB of personal disk space.
